- Be the right hand to our leadership team: From managing complex calendars and coordinating travel to preparing impactful presentations and handling confidential information, you'll provide seamless administrative support that keeps our executives operating at their peak.
- Collaborate with our global People team: You'll be a vital part of our worldwide People team, working closely with the VP People on all HR-related needs and initiatives specific to our Portugal operations.
- Craft an exceptional office environment: You'll be the architect of our Lisbon office experience, overseeing everything from maintaining a productive and aesthetically pleasing workspace to organizing engaging team events and ensuring our office runs like a well-oiled machine.
- Master the art of coordination: You'll juggle multiple priorities with ease, utilizing tools like Google Workspace (Calendar, Docs, Sheets, Slides), Slack, and our internal project management software to manage schedules, coordinate meetings (both in-person and virtual), and facilitate smooth communication across departments.
- Champion our Carbyne culture: You'll be instrumental in fostering a positive and inclusive atmosphere, from welcoming new hires and assisting with onboarding to helping plan company-wide celebrations that build team camaraderie and reinforce our values.
- Solve problems with a smile: No two days will be the same! You'll tackle diverse tasks with enthusiasm, from managing vendor relationships and ordering office supplies to assisting with special projects, all while maintaining a proactive and positive attitude. - 3+ years of experience as an Executive Assistant supporting senior-level executives, ideally in a fast-paced tech environment.
- Exceptional organizational skills with meticulous attention to detail and the ability to manage multiple priorities simultaneously without missing a beat.
- Mastery of Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) is a must, along with a strong comfort level learning new software quickly.
- Outstanding communication skills, both written and verbal, with a professional and engaging demeanor.
- A proactive, can-do attitude and a problem-solving mindset, always looking for ways to improve efficiency and enhance the office experience.
- Fluency in both English and Portuguese (written and spoken) is essential for this Lisbon-based role.
- Strong interpersonal skills with a natural ability to build rapport and collaborate effectively with diverse teams.
